Quality Control Process
The quality of a transcribed document measured in terms of accuracy of the document is the single most important part of medical transcription. The realization of this absolute truth is mandatory for building a long lasting and profitable career in medical transcription.
At Doctors Transcribe, we guarantee quality standards that exceed industry standards i.e. above 98.5% accuracy provided the audio quality and dictating standards are met. In order to consistently maintain the above-mentioned, we have developed a Four Tier Quality Control System which has given us excellent results for the last 8 years.
- The first level is the actual medical transcription, which is implemented by medical transcriptionist (MT) with a minimum of 2 years experience. Each MT is made to type a minimum of 350 lines to a maximum of 600 lines per day. The MT by default has to go over the work two times after the first draft. The first time is with the voice and after that, the MT has to read the report for sense. After the MT is through with these three steps, the work is forwarded to a proofreader.
- At the second level, the typed documents of the three MTs are overseen by a proofreader (PR) who has more than 4 years of experience in the industry. The proofreader checks the work file by file for integrity of the content, both the demographics as well as the text/report. The proofreader does word to word proofreading for all files until the MT has consistently given required quality for 3 months, and then the proofreader does a word to word for only 50% of the reports. If the proofreader finds a quality drop, the MT will be penalized and brought back to 100% proofreading. Regular feedbacks will be given the MT level on a daily basis.
- The third level is managed by a Quality Controller (QC) who fills in the blanks left by the previous two levels and also does a 20% word to word check of the reports to guarantee the quality of the document. The QC will conduct weekly trainings for the previous two levels with regular feedbacks on a daily basis. Each QC will handle 3 proofreaders. The QC has more than 5 years of experience in the industry.
- The fourth level is Quality Auditor (QA): At this level the auditor monitors the quality of the delivered product and also checks the quality at all the previous levels. The quality auditor keeps in constant touch with client to ensure that all the clients’ requirements; changes and feedbacks are implemented at the earliest notice. The auditor distributes all information with regard to quality to the lower levels. The auditor plans for any change in protocol and also takes decision on individual personnel performance at all levels below. The auditor is also the chief trainer. The auditor conducts interviews and also controls the examination of quality of the new employees to be recruited. The auditor decides on penalties to the lower levels. The QA has more than 7 years of industry experience.
